Integrations: connect any app

Link another app to your workspace, pull its data in, or send your records out to it. You say what you want in plain words and check a preview before anything moves.

What it does

An integration is a connection between SoftSolz and another app you use. Once it is connected you can do two things.

Either one can run once, or repeat on a schedule.

Integrations work only with apps that offer an MCP server. If you are not sure, check the app's own help pages or ask its support team.

Connect an app

Open Marketplace → Apps → Integrations. It is a tab next to Available and Available on demand. Members whose role includes Apps manage can add and change integrations. Apps view lets a member see them.

  1. Press Add an integration.
  2. Give it a name you will recognise.
  3. Paste the app's server address. It is an MCP server address and must start with https.
  4. Choose how to sign in: Sign in with the app, or paste an access key if the app gives you one.
  5. SoftSolz reads which actions the app offers. The app's icon is found for you.
  6. Under Choose what it can do, review the list. Reading is switched on to start with. Anything that changes the other app stays off until you switch it on.

Bring data in

Open the integration and choose Ask about your data.

  1. Say what you want in plain words, for example: "Every open deal from last month, with the contact's name and email."
  2. Choose where it goes: Sales Pipelines deals, Contacts, Blog drafts, the Knowledge Base, or a form's submissions.
  3. Press Check. You see a preview with the counts, the first rows, and how the fields match. You can change the match for each column.
  4. Where a value has no match, you decide: use the first option, leave it blank, or skip that row.
  5. Press Send for approval. Once approved, the data is imported.

Send data out

  1. Choose where the records come from: My Leads, Contacts, Form submissions or Appointments. You only see what your role lets you see.
  2. Look at the preview. Personal details are listed, each with its own switch, so you decide what leaves SoftSolz.
  3. Check that the other app's write action is switched on under Choose what it can do. If it is off, nothing can be sent.
  4. SoftSolz sends one test record first. Check it in the other app, then send the rest.
  5. The results list shows every record, and for each failure the other app's own reason. Press Retry failed to try those again, or download the list.

Repeat it

Turn an import or a send into a rule that runs by itself: every day, every week, every month, or on days you pick, at a time you choose in your workspace time zone. You approve the rule once.

A rule stops and asks you when:

After each run you get a summary. On the integration's card you can pause the rule, run now, or stop it.

Good to know

LimitWhat it means for you
Only apps with an MCP serverIf the app does not offer one, it cannot be connected here.
What you can read depends on the appYou can only ask for what the app chooses to show.
Preview counts are approximateThey come from the first rows read, so a large number shows as 100+.
Sent contacts stay sentSoftSolz cannot take a contact back out of the other app. Remove it there if you need to.

Disconnect

Open the integration and press Disconnect. SoftSolz loses access to the other app straight away. Data you already imported stays in your workspace.

Questions

Who can set this up?

Members whose role includes Apps manage. Members with Apps view can see integrations but not change them. Admins can edit roles under Account & team.

Can the other app be changed without me knowing?

No. Reading is on to start with, and anything that changes the other app is off until you switch it on under Choose what it can do.

Will an import create duplicates?

No. Records that were already imported are recognised and left alone, including when a rule repeats.

Does it cost AI credits?

Checking what you asked for uses AI credits. Running the same import again does not.

What happens if a repeating rule runs into trouble?

It pauses and asks you. This happens when a value has no match, more than 2 records fail, the volume is about 10 times the usual, the approver loses access, or the app needs signing in again.
